Leigh PTA Carnival Planning Meeting

Present: Fay Bradnam, Gillian Irons, Robyn Minson, Jenine Abarbanel, Zetti Hussein, Jo Macarthur, Rebecca Wycherley, Selena Grant

  • Advertising.  Gillian and Fay are meeting with the Times to get an article and a photo for the paper.  Fay to make sure the picture is of carnival and not surf and turf.  Need to e-mail this week to Dobsyn to get it in “What’s On”.  There’s one sign left to go up, at Matakana.  Had to purchase some timber.  
  • Money.  We need $5,000 on hand for the float.  We don’t need to buy anything else ahead of time.  Selena and Jenine: need to write a check for the bond on the trestle tables.  Errol has volunteered to do collecting.  
    • Jenine and Selena need to break the term deposit to meet the float.  Will also free up the $1000 approved last year for the mural work which is to begin soon.  
  • Food: 
    • Zetti and family is doing some satay skewers.  Looking to borrow a barbecue for that.  Jenine to ask Barry about using his little one.
    • Sheep:  Have already asked Jane and Martin Munro.  They do not have any for us.  Jenine putting up a sign at her gym to see if anyone has any.  Gillian contacting some folks at Kaipara.  We are hoping for three.  If anyone has any contacts, PLEASE ASK!  
    • Rex is organising a team to come down to the fisheries to do the filleting.  Fay and Gillian went to see Julie already, but Greg Bishop asked when they’re coming to see him, so looks like they’ll need to go see him too.  Ask Rex and Wayne if they need plastic bags for doing the bagging, or if the fisheries provide that, too.
  • Becs (Martin’s partner) has volunteered to work the ice slide!  Going to ask her to organise at least one other person to help.
  • Rochelle has talked about doing a “decorate your own” cupcake stand.  This would work well alongside the cake stall.  Karen Eriksen also on cake stall, and also on baking team for beforehand.  We need to set a date, time, and location for the baking to get done.  Jo is going to pick up supplies, and we are all going to turn up on Saturday morning, April 3rd, with mixing bowls and spoons and pans and everything else and we are going to bake bake bake.  Jo also on cakes.
  • Balloons and blow-ups: Debbie Dryland and Amy Weller PenmanRochelle may do balloon animals instead of decorate cupcakes?  Need to confirm with her what she wants to do.  We have a quantity of these left over from last year, Fay to order some more to top up.
  • Fay ordered five cartons of candy floss.  
  • Jenine, order the water!!
  • Carnival Cafe.  Decision is just to get go with filters and plungers.  Jenine and Kaye coordinating with Karajoz as friends of friends to get donations and deals on coffee, cups, lids, stirrers, etc.  We have 111 cardboard coffee cups and 70 lids leftover from last year in the PTA shed. Gaynor is working the cafe with Kaye. Kaye has four people working cafe, and with filters and plungers making coffee, should be fast enough throughput to not need a second stand outside.  
  • Quick Fire Raffles.  So far we have on the booth, Ritchie calling, Kate, Collette.  Gillian and her sister to do the organising. Middletons have organised the refrigerated truck, and are bringing the ice for the ice slide.  
  • Collections.  Kaye is picking up, and it donations are being assembled in the teacher aide room.  We need a crew to do sorting and labeling Friday night.  (Gillian, Jenine, Kate?).  At that time, we will make up some gift bags for the voucher packages, and make up the descriptions posters of the silent auctions for display.  
  • If anyone needs to order from Gilmour’s, or needs prices, contact Rebecca.  She has a login.  
  • Lucky Dips.  Karen Tricklebank has offered to do lucky dips.  We have 28 left over.  Need to order more and sort those out.  
  • Beauty Tent.  Melanie Torkington running that, with a host of little girls assisting her.  Temporary tattoos, hair gel, nails, make-up, face painting, hair braiding: $3 for half.  Need to make it visually appealing for boys, too!  
  • Games: new idea, eating weetbix race!  First to finish the weetbix wins a prize.  Or, $50 prize for eating a weetbix under a minute.  Katrina has a game to run, she has prizes, equipment, all sorted.  Need people for putting green and bean bag toss.  James is on the Coconut Shy.  Aprile: can you bring the putters and balls again?  Ian, can you mow us a green?  
  • Jenine and Nat are in the ticket booth.  
  • Plants and Produce.  We need someone to take point on that.  
  • Ice Slide.  Helena and Jo found sleds for $12.50 online.  Helena to order. 
  • Toilets.  Instead of hiring port-a-loos, we are going to 1) ask Lloyd to undue whatever it was he did to them and 2) make school toilets available through the back door.  We can open those without allowing access to rest of school.  We will need clear, large, signage telling people where they are.  
  • Cath: Wine auction progress?

Meeting adjourned at 4:30.  Next meeting not set.  Fay will notify us early next week when we should meet again.
