Leigh PTA Carnival Planning Meeting

Present: Helena, Rebecca, Katrina, Fay, Selena, Gillian, Jenine, Kaye, Jo, Karen T.
Apologies: everyone else.

  • Advertising. 
    • Fay has carnival flyers. Everyone who can, PLEASE pick some up from her on Friday and distribute them wherever you can. Every windscreen, door, shop in the district!
  • Money. 
  • Bric-a-Brac: Saturday afternoon, need all hands on deck, especially people with trailers and utes to haul everything down from the House of Learning to the field. There are some really nice things donated. Katrina will make sure we get top dollar.
  • Security: Insite is lined up again.
  • Food: 
    • Jenine trying to find sheep! Almost had them from nice lady in Warkworth.
    • Need to write down details on who kills and dresses the sheep! Last year’s notes reference Dick Penney and Dr. Hud. Do we have phone numbers to add to the docs? Gillian has sorted two sheep, will get to Frick. From Simon Withers (accountants). Big thank you for them.
    • Order from Gilmour’s: Kaye and Zeti are e-mailing their lists to Rebecca. Helena doing the order.
    • Bin Inn: Jenine placing order for muffin/scone baking.
    • Country Store: Helena and Rebecca placing order
    • 350 fish burgers, 480 sausages, 200 skewers, 80 gumbo, 130 mussel fritters, 60 ceviche, 80 lamb.
    • Frozen yogurt people are coming to do ice cream for us, and they’re giving us 10%
    • Drinks: Helena getting coke products, l&p, and juice. Jenine getting 6 cartons water.
  • School Stall
    • Flax flower bouquets, t-shirts, combine with balloons and blow-ups, anything else we don’t know where to put it.
  • Ice slide.
    • Did anyone ask Bec’s if she has any help?
    • Sleds. Three sleds all sorted, will be delivered tomorrow. $15/ each!
  • Cakes and baked goods stall.
    • Baking Day: Saturday, April 3.
    • Jenine: get over-ripe bananas from new world.
    • Rochelle and the decorate your own cupcake scheme: No, too much work.
    • Trays for families. Can someone go to Super Liquor? Done by Greg Bradnam!
  • Balloons and blow-ups: How many do we have and how many do we need? Jenine to buy more balloons and blow-ups tomorrow. Swans, swords, hammers.
  • Water. Jenine has been exchanging e-mail with LWE, but still not confirmed.
  • Coffee/Carnival Cafe.  Jenine is losing faith in Karajoz as their guy never answers her texts, e-mails, or phone calls. Has contacted 3 other Auckland area roasters, 2 by e-mail, one by phone, and there WILL be coffee and cups, don’t you worry about that. Coffee: Jenine try Borton’s (Beltan?) coffe, Mikael Laumann, info@smartcoffeesolutions.co.nz. 0800 232 670. Been trying around. Getting down to the wire. See if they will give us an auto machine for free, and if they’ll bring it up to matakana.
  • Quick Fire Raffles.  Kate reports that she is doing well organising a team (even though she said she couldn’t!) and that she is happy to help with donation sorting
    Good Friday.
  • Raffle baskets. Seeing as we haven’t started selling tickets for these, Jenine suggests we sell tickets at the carnival, but don’t have the draw until end of holidays or even later so we have time to sell more tickets. It’s a shame to not be able to turn this around.
  • Collections.  Kaye distributing jobs.
  • Lucky Dips.  Karen Tricklebank  
  • Beauty Tent.  Melanie Torkington running that, with a host of little girls assisting her.  Temporary tattoos, hair gel, nails, make-up, face painting, hair braiding: $3 for half.  Need to make it visually appealing for boys, too!  Bree Torkington helping.
  • Games:  
    • Sam and Seth doing weetbix games. Idea is to have $2 entry to contest, fastest time at end of day wins $50.
    • Katrina’s game, sorted out.
    • Rich has volunteered for golf game, but he may be needed on ice slide. Next week, test out carpet for putting range and see if it works.
  • Jenine and Nat are in the ticket/EFTPOS booth.  
  • Tents and Cover
    • National Bank is sorted.
    • Gillian calling Brian about another marquee.
    • Jenine to call Peter at Barfoot and Thompson and ask about marquee and auctioneer.
  • Plants and Produce.  Sorted.
  • Toilets.  Jenine wishes to express extreme misgivings regarding decision to not hire any port-a-loos. For $90, I think it’s worth it, and McEntee might give us half off, they did last year.
  • Cath: Wine auction progress? We still don’t have an auctioneer. Gillian is hunting up.
    • Nat: Ti Point
  • Art Auction, going to be a little different this year. Artists spray painting the container and four canvases in the garden. We’ll ask donations for people to go through, then auction the canvases at the end.
  • Set-up 3:00 pm Saturday. After the carnival, clean-up and then a drink at 4:30 (or whenever we are done with clean-up) and leftover food for celebration.
